Quick answer: “Microsoft Word (Product Activation Failed)” in the title bar means Office can’t confirm a valid license, so Word runs with most editing turned off. Open File > Account to see the license status, sign in with the Microsoft account that bought Office (or your work account), and make sure your Microsoft 365 subscription is active. Then remove any second copy of Office, set your clock to automatic, run Microsoft’s activation troubleshooter and, if needed, do an Online Repair of Office.
Applies to: Word, Excel, PowerPoint and Outlook in Microsoft 365, Office 2024, 2021, 2019 and 2016 on Windows 11 and Windows 10, when the title bar shows “Product Activation Failed”, “Unlicensed Product” or a yellow or red activation banner.

What “Product Activation Failed” means
Every Office installation regularly checks its license with Microsoft. When that check fails, the apps add “Product Activation Failed” or “Unlicensed Product” to the title bar. You can still open and read documents, but editing, saving and most commands are disabled until Office activates again.
The usual causes are:
- Office is signed in with an account that doesn’t own a license (for example a second personal email).
- The Microsoft 365 subscription expired or a payment failed.
- Two different versions of Office are installed, and the one that opens isn’t licensed.
- A wrong clock, firewall, proxy or VPN stops Office from reaching the activation servers.
- Damaged license or sign-in data on the PC.
- Office was activated with a key or tool that wasn’t genuine, and the license has been revoked.
The same fixes apply whether you see the message in Word, Excel or any other Office app, because they all share one license.
Check your license status first
Open Word and go to File > Account (in some versions File > Office Account). Under Product Information you’ll see:
- Product Activated with your product name: the license is fine; restart Word and the banner should clear.
- Activation required or Unlicensed product: continue with the fixes below.
- The account shown under User Information: note which email Office is signed in with, which matters for Fix 1.
Fix 1: Sign in with the account that owns Office

This is the most common cause. Office is tied to the account you used to buy or redeem it, not to the PC.
- In a browser, sign in at account.microsoft.com/services (Services & subscriptions). If your Office product or subscription is listed there, that’s the right account. If not, try your other email addresses.
- In Word, go to File > Account, select Sign out, close all Office apps and open Word again.
- Sign in with the account that shows Office in Services & subscriptions. For a work or school copy, sign in with your work or school account.
If your organisation manages the license and it still fails, your IT admin may need to assign you a Microsoft 365 license. Work accounts can also clash with personal ones, which is the same kind of account mix-up covered in removing an account from Teams.
Fix 2: Check your Microsoft 365 subscription
On Services & subscriptions, look for your subscription under Subscriptions or Cancelled subscriptions. If it has expired, or a payment failed, renew it or update the payment method there. Then close and reopen Word. If you use Microsoft 365 Family through someone else’s sharing invite, ask them to check that you’re still in their sharing list.
Fix 3: Remove extra copies of Office
PCs often come with a trial of Microsoft 365 preinstalled. If you then install Office 2021 or another version, Windows may open the unlicensed copy.
- Open Control Panel > Programs > Programs and Features (or Settings > Apps > Installed apps) and search for
office. - If more than one version is listed, uninstall the one you don’t have a license for. Keep the one that matches what you bought.
- Restart the PC, open Word and sign in if asked.
Fix 4: Fix date, time and connection problems
Activation uses secure connections that fail if the clock is wrong or traffic is blocked:
- Clock: go to Settings > Time & language > Date & time and turn on Set time automatically and Set time zone automatically.
- VPN and proxy: disconnect any VPN, and check Settings > Network & internet > Proxy. Turn off a manual proxy you don’t need.
- Firewall and antivirus: third-party security software can block activation. Temporarily turn it off, activate, then turn it back on.
- Run as administrator: close Word, press Win, type
Word, right-click it and select Run as administrator. This helps when the license can’t be written on first activation. - Update Office: in Word, go to File > Account > Update Options > Update Now.
Fix 5: Run the activation troubleshooter
Microsoft provides an activation troubleshooter for Microsoft 365 that checks the sign-in, license and installation for you. Open it from Microsoft’s Unlicensed Product and activation errors in Office page (Step 4), allow it to open the Get Help app, and follow the prompts on the same PC where Office is installed.
Fix 6: Clear saved Office sign-ins
Old or damaged sign-in tokens can make Office keep checking the wrong license. Clearing them forces a fresh sign-in:
- Close all Office apps.
- Open Control Panel > Credential Manager > Windows Credentials.
- Under Generic Credentials, remove entries whose names start with
MicrosoftOffice16_Data(orMicrosoftOffice15_Datafor Office 2013). - Restart, open Word and sign in again with the account that owns Office.
This only removes saved sign-ins, not your documents. In company environments, IT admins have a fuller reset procedure in Microsoft’s activation-state reset guide (linked below).
Fix 7: Repair Office

- Go to Settings > Apps > Installed apps (Windows 10: Settings > Apps > Apps & features).
- Find your Microsoft 365 or Office entry, select it (or the … menu) and choose Modify.
- Choose Quick Repair first. If activation still fails, run it again and choose Online Repair, which reinstalls Office from Microsoft’s servers.
- Restart, open Word and sign in.
Your documents aren’t affected by a repair.
Office 2019, 2021 or 2024 with a product key
One-time purchase versions are activated with a product key that you normally redeem once at microsoft.com/office/setup, which links it to your Microsoft account. After that you install and activate by signing in with that account, not by typing the key again.
To check a key-based installation, open an administrator Command Prompt and run (use Program Files (x86) if you have 32-bit Office):
cscript "C:\Program Files\Microsoft Office\Office16\OSPP.VBS" /dstatus
Look at LICENSE STATUS. ---LICENSED--- is good; ---NOTIFICATIONS--- or an error code means the license isn’t valid. Also note the last five characters of the key, which helps when you contact Microsoft support. Retail keys for Office 2019 and later can only be activated on one PC at a time, so a key moved from an old PC may need support’s help.
If Office came from an unofficial source
If the key came from a cheap online seller, or Office was activated with a “KMS activator” or crack, Microsoft can revoke or refuse the license at any time, and no repair will fix that. Unofficial activators are also a common way to get malware, so scan the PC for malware and remove them.
The real fix is a genuine license: a Microsoft 365 subscription, a one-time Office purchase from Microsoft or an authorised retailer, or your work or school’s license. If you only need basic editing, Word for the web is free with a Microsoft account at microsoft365.com.

Frequently asked questions
Will I lose my documents if Word isn’t activated?
No. Your files stay where they are and you can still open and read them. Only editing and saving are limited until Office activates.
How many PCs can I use Microsoft 365 on?
Microsoft 365 Personal and Family let each person sign in on several devices at once. One-time purchases such as Office 2021 are licensed for one PC.
Why does it say Product Activation Failed right after buying a new PC?
Usually because the preinstalled Microsoft 365 trial is running instead of the version you bought, or the trial ended. Follow Fix 3, then sign in with your own account.
Does reinstalling Office fix activation?
Only if the installation was damaged. If the account or license is the problem, the new installation will fail in the same way, so check Fixes 1 and 2 first.
